Non-Covered Service Fee

Health Moves has joined a growing movement among independent medical practices who take insurance dedicated to preserving a personalized, patient-centered approach to care. To support this model, we have implemented a Non-Covered Services Fee for all patients. This monthly or per-visit out-of-pocket fee helps cover the cost of administrative and care coordination services that are not reimbursed. We will continue to bill your insurance for all covered medical services, just as we always have, while the Non-Covered Services Fee applies only to services that insurance does not cover.

What Are Non-Covered Services?

Health insurance plans have detailed rules about which services they will reimburse. While they cover many aspects of your medical care, they often do not pay for the behind-the-scenes work that is essential to providing high-quality, coordinated care.

At Health Moves, we are committed to offering the level of personalized service and support our patients deserve. The Non-Covered Services Fee helps offset the cost of services that are not reimbursed by most insurance plans, including:

Secure portal messaging with our medical team between office visits
Administrative services, such as completing sports physical forms, vaccine records, FMLA paperwork, disability forms, and other requested documentation outside of an appointment
Insurance coordination, prior authorizations, and advocacy to support coverage for your care
Assistance with pharmacy and laboratory issues
Care coordination and communication with specialists and other healthcare providers
Ongoing maintenance of infection prevention, and public health protocols
Technology, compliance, and administrative systems that support your care

We offer several fee options to meet the needs of individuals and families, and our team is happy to help you choose the option that best fits your healthcare needs.

Essential Plus – Monthly Plan: $29/Month

Stay connected to your care team between visits with the support you know and trust from Health Moves. This option provides secure portal messaging for quick medical questions, assistance with prescription and pharmacy changes, and completion of routine forms—such as sports physical and prior authorization documentation—when an office visit isn’t necessary. Additionally, receive a 10% discount on any orders placed via Fullscript, message your provider team when you are ready to place your first order to receive the discount when enrolled in this monthly plan.

Essential Base – Per Visit Option : $49/visit

This option is designed for patients who visit us infrequently and typically don’t need support between appointments. If you rarely use the patient portal, don’t often require assistance with prescriptions, lab coordination, forms, or other administrative services outside of your visits, this may be the best fit for you. With this plan, you’ll pay a per-visit administrative fee and receive access to the same administrative support included in the Monthly Plan for the two weeks following each office visit. The fee is charged at the time of each appointment.

Only here for a one-time visit? No problem! If you’re scheduling a standalone service without establishing ongoing primary care at Health Moves, the Non-Covered Services Fee does not apply. If you decide to establish ongoing care with us in the future, we’ll help you choose the option that best fits your needs.

Out of network or not using your insurance?

If you pay for your visits at the time of service the monthly plan is built into your fee for service and there are no additional charges to receive the full spectrum of our care.

Frequently Asked Questions

The ESSENTIAL Plus program fee is automatically charged to your payment method monthly on the same day of the month of your initial enrollment. If a payment is declined, you have 30 days to update your payment method. If not received within 30 days, ESSENTIAL Plus members will be transitioned to the ESSENTIAL Base pay-as-you-go structure.

The ESSENTIAL Base administrative services fee is charged to your payment method on file at the time of your visit or when specific administrative services (such as complex form completion) are requested.

The ESSENTIAL Plus program is $29 a month. The ESSENTIAL Base program is $49 per visit/occurrence.

Health insurance plans have complex criteria for what is and is not a covered service. Many of the administrative and digital services patients appreciate—such as insurance claim advocacy, secure portal infrastructure, and complex form coordination—are not covered by insurance. Instead of charging separate fees for these clerical tasks, the monthly fee provides the non-clinical infrastructure necessary to support these enhanced administrative amenities.

Yes, we will submit claims for all covered clinical visits, labs, and procedures exactly as before. You remain responsible for copays, deductibles, and coinsurance as determined by your plan.

While your insurance covers the medical treatment provided during your visits, it does not cover the non-clinical administrative infrastructure required to manage modern naturopathic care. The monthly fee covers these non-billable administrative services—such secure digital communication platforms and complex documentation management to name a few — ensuring that our practice can continue to provide the enhanced level of administrative coordination you expect.

If you elect not to enroll in the ESSENTIAL Plus program, our team will provide the ESSENTIAL Base agreement for your review and signature at your next visit. The non-covered administrative fees for the Base option are $49 per occurrence. This pay-as-you-go choice is often best for patients who visit Health Moves once or twice a year and prefer to pay for administrative amenities—such as portal access and form coordination—only when they are utilized.

We limit the number of spots per provider to 200–250 to ensure we can continue to provide exceptional care, including reserved time each day for urgent issues.

Yes! You can cancel your enrollment at any time by filling out our Cancellation Form. Please allow 7–10 business days for processing. Upon cancellation, any unearned portion of your current month’s fee will be prorated and refunded.

Administrative benefits will terminate at the end of the month in which you cancel. Please note that if you choose to re-join the ESSENTIAL Plus program later, a $150 rejoining fee will apply, and enrollment is subject to provider availability.

Yes! You can transition from the ESSENTIAL Plus monthly program to the ESSENTIAL Base (pay-as-you-go) administrative structure at any time. To request this change, please contact our office so we can provide the updated agreement through your patient portal.

Please allow 7–10 business days for processing. Your monthly administrative benefits will conclude at the end of the current calendar month, and any unearned portion of your fee will be prorated and refunded. If you choose to re-enroll in the ESSENTIAL Plus program later, a $150 rejoining fee will apply, and enrollment is subject to provider availability.

There is no penalty or fee to transition from the ESSENTIAL Plus program to the ESSENTIAL Base (pay-as-you-go) administrative structure. However, if you choose to re-enroll in the ESSENTIAL Plus program at a later date, a $150 rejoining fee will apply. Furthermore, the practice limits the number of patients per doctor to maintain our high standard of administrative support; therefore, a spot with your specific provider may not be available if you attempt to re-join the Plus program in the future.

To keep our billing as simple and transparent as possible, we offer a straightforward monthly subscription for the ESSENTIAL Plus program. This allows you to access all our non-clinical administrative amenities and care coordination infrastructure for a consistent monthly fee of $29, with no long-term commitment. One secure payment method handles your monthly administrative fees automatically

Patients selecting the self-pay option are not required to enroll in the ESSENTIAL Plus or ESSENTIAL Base programs. This includes self-pay services and services with Health Moves Consulting providers (Drs. Yarnell and Altman). These programs are elective and are specifically designed to provide enhanced administrative coordination and digital infrastructure for our insurance-based care model; however, self-pay patients are welcome to enroll in either program if they desire the additional administrative support and digital amenities

Yes! You have access to all the providers at Health Moves who offer a range of specialties and procedures.

We do not offer family or partner discounts at this time. The ESSENTIAL Wellness Program is structured at a per-individual rate to ensure that each patient receives dedicated administrative coordination, secure portal access, and personalized insurance advocacy tailored to their specific healthcare needs
